SPEAKER MARKETING TOOLKIT

The entire UAI team is thrilled to have you join our team as a speaker for UA Week.  This kit includes presentation development guidelines, registration information and session marketing resources to help you make the most of your presentation at UA Week. 

PRESENTATION GUIDELINES:

Presentation Development

  • All UA Week breakout sessions are 45-minutes long. Please ensure your presentation stays within the allocated timeframe.
  • Use the UA Week -branded slide template located in the Speaker Marketing Tool Kit.
  • Keep slide content clean and easy to read from a minimum distance of 75 ft, use at least 28-pt. font.
  • Limit each slide to no more than six lines per slide and not more than 6-8 words per line.
  • Replace words with images when possible. 
  • Videos can be included in the presentation. Consider bring the video file on a USB drive as well. 
  • Company name should appear on the title page & contact information page ONLY.
  • If acronyms are used, provide explanation.
  • Author information, including contact information, should appear on the last slide of your presentation.
  • PRACTICE your presentation thoroughly before the presentation day.

 

Session Room and Audio Visual Set Up

  • Breakout session rooms will be set with a combination of classroom (front half of the room) and theater seating (back half of the room).
  • Breakout session room audio visual set up includes:
    • LCD projector
    • Wide screen (16:9 aspect ratio)
    • Podium microphone
    • Lap top computer w/ Microsoft suite and wireless Internet connection
    • Slide advancer w/ laser pointer
    • Sound projection

 

Presentation Delivery

  • Dress code for presentation delivery is business casual.
  • Arrive 10-15 minutes early to check the equipment. 
  • Each breakout session room will have session moderator provided by UAI to start and end the session on time. 
  • Bios will not be read by the moderator, they will be available in the event mobile app. Build in a 60 second introduction of yourself to provide context for your presentation. 
  • Use visuals to reinforce ideas and to accommodate different learning speeds and language barriers.
  • Refer to case studies, research, and other facts to validate information.
  • Include 5-10 minutes near the end of the presentation for audience Q&A.
  • Summarize at the end of the presentation and close with a memorable idea that leaves the attendee with a positive impression.

NOTE: Speakers/panelists who represent vendors should avoid commercial announcements

 

Presentation Day Reminders

  • Your presentation will be pre-loaded on a show laptop; bring a back up on a USB drive.
  • Bring any speaker notes.
  • Pick up your speaker badge from the Conference Registration Desk.  
  • Visit the conference room prior to your session to familiarize yourself with the room and AV set up.

REGISTRATION & SLEEPING ROOM RESERVATIONS

  • Event Registration
    All speakers from utilities receive a complimentary (non-transferable) full conference registration to UA Week. Your registration will cover the conference sessions, breakfasts, coffee breaks and networking receptions.
  • Sleeping Room Reservations
    We have secured a discounted room rate of $259 per night (based on single/double occupancy) for UA Week attendees.
